Setting up a 'Notes Only' Domain


Description:  Setting up a 'NOTES ONLY' Domain


The K3S system also gives you the flexibility to make a unique domain for view only users so that they have the ability to update
some files, but not all.

For example, let’s say you would like for a user to be able to go through the system and add notes, but not update any other files.
There are two ways you can accomplish this.

The first method will have you create a new domain, which we can call the ‘NOTES_ONLY’ domain because the notepad will be the
only file the user is given the authority to update. This method will work well if you have several users that you want to have this authority.
The second method will have you add the user to the K3S system without a domain, and then you will assign specific screens the user
is allowed to update.

The first set of instructions below will show you how to create the ‘NOTES_ONLY’ domain. Then you will learn how to add a new user to
the K3S System (if needed) so that you can assign the user to the ‘NOTES_ONLY’ domain.



1)  Create the 'NOTES ONLY' Domain


Sign on to the K3S system with a user ID that has management capabilities.


Start from the K3S Main Menu and take option 9. Operations, and then choose option 3. Table codes


You are now on a screen that lists all of the table codes, use option 1=Select on Type DMN (Domains), then press F6=Add to add

a new domain. 

 

Fill out the entry screen to match the screen below where the Table code value is NOTES_ONLY and the Description 1 field is Domain

for NOTES ONLY.  


Be sure to change the Flag 1 field  to 1.




Press ENTER to add the domain and you will return to the screen listing all of the domains.  Notice that our new domain of NOTES_ONLY

is appearing in the list.




Once the domain has been added F12 back until you see the list of table code types and 1=Select DPG Domain/program authorities.

We will add two new records here. Press F6=Add.

For the first record put 'NOTES_ONLY’ into the left part of the table code value, put ‘K3S_6010' into the right part of the table code value.

Add a description to description 1, and set flag 1 = 1.

Press ENTER and this will add the record. 



Press F6 to add the second record and this time put 'NOTES_ONLY’ into the left part of the table code value and ‘K3S_6020' into the right part of

the table code value.  


Now press F3=Exit until you get back to the Main Menu.

Go into option 8. Management controls. Select option 7. User preferences. Press F6=Add to add a new user.

Enter the user ID, user name, and change the domain from ‘BUYERS' to 'NOTES_ONLY'. 

Note that when the ‘NOTES_ONLY’ user signs into the system they will need to press F9=Notes, and then F6=Add to add notes. They will

not have the ability to enter the note directly on the K3S_1040 screen, etc.

 


 

2) Add a user without a domain, and then grant them authority to specific programs.

Go into option 8. Management controls. Select option 7. User preferences. Press F6=Add to add a new user.

Enter the user ID, user name, and clear out the domain of ‘BUYERS’ and press ENTER.



Get back to the Main Menu and go into 9. OperationsSelect 3. Table codes. 1=Select type UPG User/program authorities.

We will add two records.  

Press F6=Add.  

Put the user ID into the left part of the table code value, and put K3S_6010 into the right part of the table code value. You can enter ‘notepad’ for the

description and set flag 1 = 1.   Press ENTER to add the record. 



Press F6=Add to add the second record and again put the user id into the left part of the table code value and this time put K3S_6020 into the right part. 

Add a description and set flag 1 = 1.  

Press enter to add the record.




Note that K3S_6010 and K3S_6020 are specific to the notepad system.  If you are trying to give a user the ability to update something other than notes

in K3S, you will need to contact K3S to know which programs to give the user authority to.
