Suggested Orders and PE Exceptions by User ID

Description:  Suggested Orders and Period End (PE) Exceptions by User ID



Our system is typically setup so that a buyer will perform all of their buying under a specific Buy group ID.  However, some environments would

like for a Buy group to represent a commodity or a group of related products.  Therefore, a buyer will actually be ordering from several different Buy

groups.  In this scenario, it makes more sense for a buyer to perform their buying and PE exceptions under a User ID.


In order to have suggested orders and PE exceptions sequenced by User ID, you will need to complete three steps:


1) Set Flag1 of the K3S_1010  USER_GROUP switch to 1=YES.

2) Change settings in Buy group Maintenance.  

        3) Change User preference record.


These steps are listed below.  It will take a night job to put the changes into effect, and thus you will not see suggested orders by User ID

until the next working day.




Step 1) Set Flag1 of the K3S_1010  USER_GROUP table code.


To do this take option 9. Operations from the main menu, choose option 3. Table codes, 1=Select on Type APP, then use 2=Change on Value

K3S_1010  USER_GROUP.


Set Flag 1 to 1=YES and press ENTER.


The table code record should appear like the screen shown below:





Step 2) Change settings in Buy group Maintenance 


To do this step, start at the Main menu and select option 8. Management controls, select option 3. Buy groups, and use 1=Select on the first Buy

group that appears on the screen. (You will eventually go back and make changes for all Buy group records.)      


You are now on the K3S_4000 screen as shown below.  Fill in the User field to indicate which User you would like this Buy group’s PE exceptions to

go to. The example shown below indicates that the PE exceptions for Buy Group 02, Buyer Willard, will go to User CHRIS.


Press ENTER and you have completed the changes for this Buy group.  Press F12=Previous to go back to the list of Buy groups. Continue selecting

Buy groups from the list and making the appropriate changes. 


                                                                 



Step 3)  Change User Preference record.


Start at the Main Menu and select Option 8. Management Controls.  Select Option 7. User Preferences.  Use 2=change on the User(s) you are

working with. This will bring up the K3S_9040 screen in CHANGE mode. Position your cursor on the Order Summary field and type in 9

(User/buy group/supplier/locn).  Press enter to update. You will receive a message at the bottom of the screen saying 'User preference file has

been updated'.  F3=exit will take you back to the menu.


NOTE:  AFTER COMPLETING STEPS 1, 2 AND 3, YOU MUST WAIT FOR A NIGHT JOB TO RUN. AFTER SIGNING ON THE NEXT DAY, YOU WILL

BE ABLE TO VIEW PE EXCEPTIONS AND SUGGESTED ORDERS BY USER.




Having suggested orders sequenced by User ID will affect the following programs:



1)  K3S_1010 (Orders – Supplier Summary) will have suggested orders driven by User ID, as opposed to Buy group ID. 


Below is a picture of K3S_1010 before having orders sequenced by User ID. Notice that suggested orders are sequenced by Buy group ID, and in our

example we are seeing orders for Buyer 02. 


                                                                                                                                   

      


Below is a picture of K3S_1010 after having orders sequenced by User ID. Notice that in our example we are seeing orders for User Chris, which contains

orders from several different Buy group IDs.  Also notice we are using View 9, which is not available when we are viewing orders by Buy group ID. 


NOTE:  You must fill in the User field (top right of screen) to see orders by user.


                                                                          


2)  K3S_3070 (Product interface log) will have product interface entries driven by User ID, as opposed to Buy Group ID. 


Below is a picture of K3S_3070 before having the product interface log sequenced by User ID. Notice that our example shows records sequenced by

Below is a picture of K3S_3070 after having the product interface log sequenced by User ID. Notice that in our example we are seeing records for User

Chris. Also notice we are using View 3, which is not available when the product interface log is sequenced by Buy group ID. .


                                                                      

NOTE:  K3S_9040 (User preferences) will have two additional User preference settings for Order summary: options 9 and 0.  Not setting this user
preference to either 9 or 0 will prevent orders from being sequenced by User ID on K3S_1010. Refer back to Step 3 above.
