Step B: Establish Product Information

Description:  How to Establish Product Information

This step will show you how to setup product information such as Buy Multiple, Weight, Volume.


1. Starting from the Suggested Orders Detail screen shown below, click on the Product Maintenance button to go out to the Product Maintenance screen.




2. You are now on the Product Maintenance screen as shown below. Click on the Start List button to start working with the products for this supplier.




3. Now you are on the Product Maintenance Details screen Page 1 of 5 [Product identification] for this supplier’s first product. Click on Page 1 of 5 three times to go to Page 4 of 5 [Quantity Criteria].

An important piece of information for building suggested order quantities is the Buy multiple. The Buy multiple allows the system to know what quantity K3S-Replenish® must buy in, whether it is cases, layers, full pallets, or something specific to that supplier. In the Buy multiple table, you will see Used for Orders, From your system and User Override. The numbers shown in this table represent each's, and a case, for example, would be represented by the number of each's it takes to make up a case.

The From your system field is the quantity your ERP system is saying to buy in. If there is a 0 (zero) in the User Override field then K3S-Replenish® will use the From your system quantity to create suggested orders. This is reflected by the Used for Orders field.

Example: The screen below shows us that the current buy multiple is 10. Since there is a value of 0 (zero) in the User Override field, the From your system quantity is being used to feed the Used for Orders field. In our example a case is made of 10 each's, so the ERP system is telling us to buy in cases.


If a product needs to be bought in a quantity other than the one passed through the Used for Orders field, we must utilize the User Override field. When a value is typed into the User Override field that is greater than 0 (zero) and you click on the Save button, that value is then used in the Used for Orders field.

Example: Lets say we want to buy in layers, and there are 5 cases per layer. Because there are 5 cases per layer and 10 units per case,
each layer equals 50 units:

10 units /case x 5 cases/layer = 50 units/layer

The new buy multiple value we want to use is 50. To make the system use this new buy multiple, type 50 into the User Override field and click the Save button.  Remember that clicking on the Save button will advance you to the next product because you are in Start List mode. Thus, to get back to this product you need to the Previous button one time.

5. Locate the Minimum order qty column on the screen shown below. If you ever have a scenario (such as private label goods) where a supplier forces you to order a very large amount of product first before ordering in the buy multiple quantity, then you will need to use this field. The default Minimum is 1. To set a larger Minimum, use the User Override field.

Example: If the supplier below required us to buy 2,400 units before ordering in multiples of 12 (as shown in the Used for Orders field), then you will need to type a value of 2,400 into the User Override field under the Minimum order qty column and click the Save button.




6. Locate the Convenience pack column. This section gives you a place to define values for a Threshold and a Convenience Pack. The Convenience Pack value can equal a full layer, a full pallet, etc. The Threshold value is a percentage.

If you decide to use this feature, then the system will suggest for you to buy a full Convenience Pack once the 
Threshold percentage of a Convenience Pack is being suggested to order.

As an example, look at the product pictured below. Let us pretend that there are 480 units in a pallet and we want our Convenience Pack value to equal 1 pallet. Thus, we must place a value of 480 into the User Override field. We will keep the Threshold at the default value of 70%.

By using these values for the Convenience Pack and Threshold, the system will suggest to buy a full Convenience pack (or 480 units) once 70% of a Convenience pack (or 336 units) is being suggested on an order.

The calculation below shows that 70% of our defined Convenience pack equals 336 units:

70% x 480 units = 336 units

You can now click on the Save button to advance to the next product.



7. Next we want to set up our Unit Counting section. This is used if you have setup a Supplier Discount Bracket for this product's supplier. Locate the Unit column in the bottom left area of the screen and you will see the different units that can be used: Weight, Volume, # in one Counter, or Other

You need to setup the units that are related to the Supplier Discount Brackets. Find the Units that relate to your Supplier Discount Brackets. The Current value represents the number  that K3S is currently using to accumulate the product's SOQ toward the Supplier's minimum or maximum to reach the supplier's bracket for the entire purchase order. The product's SOQ will be divided by this number and added to the accumulation of the supplier'stotal order.

The Override fields tell you that the value was manually entered. If blank, you know the Current value came from the ERP system. If you need to change the Current value of any Unit, you will type the new value into the Override field and click on the Save button. In the screen below, as an example, I have overridden the Volume and the # in one Counter values that came over in the nightly interface. My new values of 2 and 10 have overridden the original values and are now shown as the Current value. The Weight value of 12 remains unchanged. 

If the Current coming over is in a case or pallet, for example, there will be a number greater than 1 listed in the Divisor column. 


Example: If your Buy Multiple is 12 and represents a case, and your Divisor coming from your ERP is 12, you know the weight coming over is given per case.


Note: If Weight/Volume are being sent across to K3S-Replenish® and are valid numbers, then you do NOT need to use the Override fields.


Locate the # in one Counter field. This field allows us a method of counting our product by cases, dozens, pallets, etc. We must decide
what unit we want to count our product in when working with the Supplier Discount Bracket. If, for example, we only reach our minimums for this supplier when we buy 10 pallets, we want to fill in our # in one Counter by how many Units it takes to make a pallet so the Supplier Discount Bracket knows when the minimum is reached.   

By looking at the Current column we see that we are currently counting in singles. If we look at our Buy Multiple we see we are buying in cases. This particular supplier requires we buy in pallets. We know there are 6 cases in each pallet, and 20 units in each case, therefore there are 120 units in each pallet.


To make this product count in pallets, the Override in the # in one Counter field will be used. You will put 120 into the Override field and click on the Save button.
This will take you to the next product if you are in Start List. If you click on the Previous button back to this product (if you are in Start List) you will see in our example below the Over-ride has taken effect and we are now counting in pallets (120).



8. Once you have completed the Product Maintenance for all items, return to the Suggested Order Details screen and you are ready to go
onto Step C: Establish product average and set seasonal profile if needed.


***Note***

There is another way to get to Product Maintenance besides what is described in Step B above. To do this, follow these steps:


1. Click on the Products button from the main menu. 

2. Enter the supplier number that contains the products you want to work with into the Supplier field.

3. A list of all the products for this supplier will now appear. Click on the specific product you want to work with or click on the Start List button to look at all the products.

4. You are now on the Product Maintenance Details screen in Edit mode.
