How to Set up a Multiple Hub Transfer System

Description: These instructions will guide you in setting up a multiple hub transfer system. A multiple hub transfer
system is different than a regular hub transfer system because there are multiple levels of transferring inventory taking
place. 


These instructions cover several aspects of a multiple hub transfer system:

A)  How to setup a multiple hub transfer system.
B)  How to view the path of replenishment for a multiple hub transfer system.
C)  Adjusting product averages & the ‘upstream’ effects.
D)  Approving an order for a multiple hub transfer supplier.

If you want to setup a multiple hub transfer system, you should start by drawing a diagram of how the transfer system will look.  Having a
visual aid will make the process of setting up a hub transfer system easier.

Below is a picture of a multiple hub transfer system that will be setup and referenced throughout this guide. 

This picture represents a 3 Level transfer system:

Level 1: California (Location 03) will be buying from Supplier #5550.

Level 2: California will transfer some of the products it bought from Supplier #5550 to Texas (Location 02).

Level 3: Texas will then transfer some of the products from Supplier #5550 to Illinois (Location 01), New York (Location 04), and
Florida (Location 05).

A hub supplier must be setup at every spot where one Location is feeding another.  Our example will have four hub suppliers.

Example:   One hub supplier from California to Texas
                   One hub supplier from Texas to Illinois
                   One hub supplier from Texas to New York
                   One hub supplier from Texas to Florida

Once you have completed your picture, you can proceed to the following page which will walk you through the steps to setup your multiple
hub
transfer system. Note that you can only setup one Level each day.  You must allow a night job to run in-between each level in order
to accurately copy demand history.  You also must start setting up the hubs from the bottom Levels to the top. 

Therefore, for our example, we will first setup the hubs from Texas to Illinois, Texas to New York, and Texas to Florida because they are all
within the same level.

After a night job runs we will then be able to setup the hub from California to Texas.



A)  How to set up a Multiple Hub Transfer System.

1. Start at the Main Menu and choose option 1. Suppliers and press Enter.

2. You are now on the K3S_2000 screen.  Press F6=Add to add your hub transfer supplier.

3. Next you will be asked to choose the location for your hub transfer supplier.  You will want to use 1=Select to pick the location that your hub transfer
supplier is transferring TO and press Enter.  You will then need to press Enter a second time to advance to the next screen. 

Example:    We are transferring FROM Location 02 (Texas) TO Location 05 (Florida). Thus we will select Location 05 (Florida) as our hub
transfer location.

4. You are now on the K3S_2000 screen in Add mode as shown below.  Here you will need to enter the Supplier ID and Supplier name. To make it
easy to understand, it is recommended that you setup your Supplier ID using the format H_XX_YY, where H signifies that this is a hub transfer
supplier, XX signifies the FROM location, and YY depicts the TO location.

Example: We are transferring FROM location 02 TO location 05, thus our Supplier ID will be H_02_05.

You also need to enter a supplier name

Example: To make it easy to understand, we will enter HUB FROM TEXAS TO FLORIDA as our Supplier name.


5. Once you have entered the preceding information, press Enter.  

6. Now press F3=Exit to return to the Main Menu.

7. Choose option 6. Special programs from the Main Menu and press Enter.

8. Choose option 2. Hub transfer system and press Enter.

9. You are now on the K3S_8500 screen as pictured below. Press F6=Add to add your transfer supplier.


10. You are now on the K3S_8500 screen in Add mode as shown below.  You will need to enter information into the following fields:

Transfer supplier    Enter the supplier ID of the hub transfer supplier that you previously added in Step 4.

Example:    We will enter H_02_05

From location   Enter the location ID you are transferring FROM

Example:    We will enter Location 02 because we are transferring FROM Texas   
  
To location   Enter the location ID you are transferring TO

Example:    We will enter Location 05 because we are transferring TO Florida

 
11. Once the required information has been filled in, press Enter and you will get a message saying ‘Transfer record added’.

12. Press F12=Previous and you will return to a screen where your transfer supplier will now be listed. 

Example:    The sample screen below shows our hub supplier H_02_05 HUB FROM TEXAS TO FLORIDA


13. Use 1=Select to choose your transfer supplier and press Enter. You will now be directed to a screen like the one pictured below. Here you must
decide whether you want to establish a transfer supplier link with Suppliers or Products and press Enter

    Example:    We will choose option 1. Suppliers to establish a transfer supplier link with suppliers.


14. You are now on the K3S_8510 screen as pictured below.  We must add links between the regular suppliers and the hub transfer supplier in order
for our transfer system to work. To do this, press F6=Add.


15. You are now on the K3S_8510 screen in Add mode as shown below. Utilize the Regular Supplier field to enter the Supplier ID of a supplier you
want to add to the hub transfer system. 

Example:    We will add supplier 5550 to our hub transfer system

You must also decide if you want the demand history copied from the regular supplier to the hub transfer supplier.  The default is 1=Yes, but you can
enter 0=No if you do not want demand copied.


16. Once you have entered the required information, press Enter and you will receive a confirmation message saying ‘Regular supplier XXXXX now
added
’. You will remain on the K3S_8510 screen in Add mode after the regular supplier is added.  Thus, you can keep adding regular suppliers to the
hub transfer system by typing the supplier ID in the Regular supplier field and pressing Enter

17. Once you have finished adding all of the appropriate regular suppliers to the hub transfer system, press F12=Previous.

18. You are now on the K3S_8510 screen as pictured below.  You can now see all of the regular suppliers that have been added to your hub transfer
supplier.

Example:    Our hub transfer supplier (H_02_05 HUB FROM TEXAS TO FLORIDA) contains two regular suppliers (5550 JOHN MIDDLETON, INC.
and 5910 NATIONAL TOBACCO CO).


19. One hub transfer supplier has now been setup, but remember that our example also needs a hub from Texas to New York, Texas to Illinois, and
California to Texas. 

The two hub suppliers out of Texas could be setup today because they are at the same level of the hub supplier we just completed.  We would need to
wait for a night job to run in order to setup the hub from California to Texas because it is at a different level.


20. After a night job is run, follow the above directions to add the hub from California to Texas. 

Now, we need to wait for a night job to run again before the demand history is copied for H_03_02. The suppliers we added earlier, H_02_01,
H_02_04 and H_02_05 have items that were moved to the hub suppliers during the night job and the demand was copied. 


Once all of the hub suppliers have been setup, this is what the K3S_8500 screen will look like:


21.  You can now proceed to the next step in order to view the hub transfer system’s path of replenishment



B)  How to view
the Path of Replenishment for a multiple hub transfer system.  
                                                                       
Now that you have setup all of the hub transfer suppliers within the different levels you can proceed with viewing your hub transfer system.

When you first sign on to K3S you will want to take special note of your Product Interface Log.  You will see several log Type 2’s appearing.

(Note that log Type 2 signifies a product is changing supplier.)

Example: See sample Product interface log below where there are several Type 2’s appearing for supplier H_02_03.

If you do not look at your product interface log when you first sign on, you can still get back to it by starting at the Main Menu, take option 2. Products
and press Enter, now press F18=Product Interface Log.

Once you are done looking at the product interface log, press F3=Exit to get back to the Main Menu.  You can now proceed to step 1 below to finish
setting up your hub transfer supplier.

                                           
1. Starting from the Main Menu, choose option 6. Special programs and press Enter.

2. Choose option 2. Hub transfer system and press Enter.

3. You are now on the K3S_8500 screen as pictured below.  Use option 1=Select and press Enter to choose your hub transfer supplier.

Example:    We will choose to work with H_02_04     HUB FROM TEXAS TO NEW YORK.


4. You will now be on a screen like the one pictured below. Choose option 1. Suppliers and press Enter.


5. You are now on the K3S_8510 screen as pictured below.  Look at the Created column and compare the date to the Demand Copied column.  We
had to stop after Step A and let the night job run so that we could get the demand history copied.  You will notice that the dates in these two columns
are one day apart.    

Example:    The regular supplier was added to the hub transfer supplier on 06/08/09 and after the night job ran we got the demand copied on
06/09/09.


6. Now press F3=Exit twice to get back to the Main Menu.

7. Take option 4. Suggested orders and press Enter.

8. You are now on the K3S_1010 screen as seen below.  Go over to the Mode field and change it to ‘H’ for ‘Hub transfer suppliers’. 

Reminder:    If you don’t remember that ‘H’ stands for hub transfer suppliers, you can do an F4=Prompt on this field to bring up a list of all
your choices.


Notice that the hub supplier we added today has a zero purchase order. A night job has not yet run to copy the products and demand.

9. Once all of your hub transfer suppliers are appearing, use 1=Select and press Enter to pick the hub transfer supplier you want to work with.

Example:    We will select hub transfer supplier H_02_04


10. You are now on the K3S_1020 screen.  Put ‘SQ’ into the Select check field and press Enter

11. You are now on the K3S_1030 screen as pictured below.  Use option 7=All to view all locations for each product and press F21=Start.


12. You are now on the K3S_8000 screen as seen below.  Press F5=Path of Replenishment.


13. You are now on the K3S_8030 screen as seen below.  This screen is showing you the path of replenishment between your hub transfer suppliers
and the regular supplier.  You are also able to see the different levels for all locations within the company

Example:    Below we see that there are three levels (Lv) within the path of replenishment.

Level 1 consists of location 03 (California), because California buys direct from Supplier #5550 JOHN MIDDLETON.

Level 2 consists of Location 02 (Texas).  This level contains 1 hub: HUB FROM CALIFORNIA TO TEXAS.

Level 3 consists of Locations 01 (Illinois), 04 (New York), and 05 (Florida). This level contains three hub transfer suppliers: HUB FROM TEXAS
TO ILLINOIS, HUB FROM TEXAS TO NEW YORK, and HUB FROM TEXAS TO FLORIDA. 




C)  Adjusting product averages & the 'upstream' effects.


When you change the average for a product who is part of a hub transfer system, you must consider how that change will affect the other levels of the
hub transfer system. 

For instance, let us look back at our original example of the hub transfer system pictured below.  Remember that for Illinois (Loc 01) to get products
from Supplier #5550, there is a long line of replenishment for the products to travel.  The path is from California to Texas to Illinois.

But, what happens if Illinois has an increase in demand from its customers and some product averages start to increase?  Then we must also increase
the demand in California and Texas too.

The following section will guide you through the steps of adjusting product averages within a hub transfer system.  

1. Starting from the Main Menu, take option 4. Suggested orders and press Enter.

2. You are now on the K3S_1010 screen as seen below.  Go over to the Mode field and change it to ‘H’ for ‘Hub transfer suppliers’. 

Reminder:    If you don’t remember that ‘H’ stands for hub transfer suppliers, you can do an F4=Prompt on this field to bring up a list of
all your choices.

3. Once all of your hub transfer suppliers are appearing, use 1=Select and press Enter to pick the hub transfer supplier you want to work with.

Example:    We will select hub transfer supplier H_02_01.


4. You are now on the K3S_1020 screen.  Press F2=All to bring up all products for this supplier.

5. You are now on the K3S_1030 screen.  Put option 7=All next to the product you want to work with and press Enter.  By using option 7=All, we will be
able to view all locations for this product.


6. You are now on the K3S_8000 screen as seen below. Put option 3=History next to the location you want to change the average for and press Enter

Example:    We will choose Location 01 (Illinois) to make the change to.


7. You are now on the history screen for the product at Location 01.  Locate the Average field.  Place your new value in the Average field and press
 field exit.

Example:    The screen below shows the current Average of 542.43, but we will change it to 600.     

                                                                            
8. After your new value is sitting in the Average field, press Enter and a window will appear like the one below.

You have now changed the Average at the current location (Illinois), but this window is giving you the ability to change the Averageupstream’ as well.
This means you can change the Average at any Location that sits at a level prior to the current location.

Example:    Location 03 (California) and Location 02 (Texas) are both a level higher than Location 01 (Illinois).  Thus the window has all of
these locations listed below.


9. The window shows the Adjustment made to the average at the current location. 

Example:    We increased Illinois’ average by 57.57 units.

The window also shows the Average before the adjustment and the Average after the adjustment.

Example:    The average at Illinois increased from
542.43 to 600.00.
   
The adjustment made to the average at the current location is also the suggested amount to increase the average by for each location upstream too. 

Example:   If we increase the averages upstream by 57.57 units, then:   
              The average for Location 02 (Texas) will go from 16.04 to 63.61.
              The average for Location 03 (California) will go from 6.01 to 63.58.

If you would like to keep the Averages after the adjustment shown in the window, press F21=Accept changes

If you would not like to keep the values shown in the window, press F12=Previous.

If you would like to change the Adjustment to the average, type your new value into the appropriate field and press ENTER to calculate the adjustments.

For our example we will press F21=Accept changes.

  
10. After making your selection from the window, you are now back to the history screen for your product. Press F12=Previous.

11. You are now back to the K3S_8000 screen as shown below. Any averages that got adjusted will now be showing the updated value in the Average
column.

Example:    Locations 01, 02, and 03 are showing the new Average.  However, the Average at Locations 04 and 05 have stayed the same
because they are at the same level as Location 01.  

                   
12. Use option 3=History on one of the upstream Locations and press Enter.

Example:    We will put 3=History next to Location 02 (Texas).

13. You are now on the history screen for this product at Location 02. Press F19=Log.

14. You are now on screen K3S_3040 as seen below.  This screen is showing the Product Forecast Changes Log.  Any adjustments made to a product’s
average will be documented here. 

Remember that the average for this product (which is at Location 02/Texas) got changed because we changed the average at Location 01 (Illinois).

The picture of the log below shows two different Types of changes, V and T. You can press F4=Prompt on the ‘Type’ field to bring up a list of all the
different log Types.

Log type V (User changed 1 level down) means that the average changed because an average was changed 1 level down in the hub transfer system.
   
Example:    Texas’ Average was 6.04 until we changed the Average at Illinois and thus had to bump up the Texas Average to 63.61.

Log type T (Transfer supplier) refers to the combining of the averages when a hub transfer system is being set up.

Example:    When we originally set up the hub transfer system from Texas to Illinois, we had to add Illinois’ average to Texas’ average so
that Texas would buy enough product to feed Illinois.  Thus the Average at Texas went from 6.04 to 63.61.

                                                                             
15. Press F3=Exit to return to the Main Menu.



D) 
Approving an order from a Hub transfer supplier.

1. Starting from the Main Menu, take option 4. Suggested orders and press Enter.

2. You are now on the K3S_1010 screen as seen below.  Go over to the Mode field and change it to ‘H’ for ‘Hub transfer suppliers'.

Reminder:    If you don’t remember that ‘H’ stands for hub transfer suppliers, you can do an F4=Prompt on this field to bring up a list of
all your choices.

3. Once all of your hub transfer suppliers are appearing, use 1=Select and press Enter to pick the hub transfer supplier you want to work with.

Example:    We will select hub transfer supplier H_02_01

                                                                                        
4. You are now on the K3S_1020 screen.  Press F5=Approve and you will get to the K3S_1050 screen as pictured below. Notice that the P.O.Type field
contains the code ‘T’ for transfer


5. Press F5=Approve again to complete the approval for the hub transfer supplier's purchase order.
